Office Policies

Our mission is to deliver excellent quality dental care and comfortable experiences to every patient, every time! To achieve that mission, you may notice our practice runs a bit differently from other offices. We believe that the foundation to a great experience is knowing what to expect BEFORE you visit, so please familiarize yourself with our office policies, and let us know if you have any questions!

New Patient Comprehensive Exam

If you are an adult new patient in our office, you can expect to spend about 90 minutes with us on your first visit. This time is spent reviewing your medical and dental history, taking x-rays and photos, assessing risk for decay, screenings for oral cancer, gum disease, jaw issues, sleep related breathing issues, and of course addressing any specific problems or questions you may have. Depending on the findings of your gum screening, and if time allows, you may also decide to have a cleaning or, if necessary, begin treatment.

Dental Records

To make accurate diagnoses and to screen for tooth decay and other pathology, we take photos and any necessary radiographs following guidelines from the American Dental Association. Typically this includes a full series of x-rays and/or a panoramic radiograph for adult new patients. Cosmetic, implant, and more complex cases require additional records for planning such as 3-D scans, molds, and/or CT scans. Insurance plans vary on which of these diagnostic services are covered and at what frequency, so you may have a copay associated with these services.

Referral to Specialists

We pride ourselves on the scope and quality of the procedures we offer, but there are many situations when, after evaluation, we determine that you will be best served by working with a dental specialist such as an oral surgeon or endodontist. We have intentionally established a network of the finest specialists in the area, and if necessary, we will work together to make your care with them as seamless as possible.

Financial Policies

Payment in full is due at the time of service. A deposit of 50% is required to reserve longer appointments on our providers' schedule. Accepted forms of payment include cash, check, credit card, Care Credit, assigned insurance benefits, and flex spending accounts. For your convenience, we also have an online payment portal on our website. Payments returned due to non-sufficient funds will be subject to an NSF fee of $25.00.

Insurance

Our team is happy to help you make the most of your insurance benefits, and we do our best to clarify your specific coverage ahead of time so that we can provide you with accurate estimates. However, we cannot guarantee what your insurance will or won’t pay for. We will collect your expected co-pay at the time of service, then file a claim to your insurance company on your behalf. Once the insurance company has finalized the claim, any balance remaining is your responsibility and is due within 30 days. In the case of overpayment, a refund will be issued.

Payment Plans

For those individuals who would prefer a payment plan, CareCredit is a third-party line of credit that will allow balances to be paid without interest for up to 12 months. For details or to apply online, visit CareCredit.com or let us know if you have any questions or need assistance.

Late Payments

An administrative fee of $30 per month will be applied to any account 30 days past due.

Scheduling Policy

Appointment times are reserved specifically for you. Hygiene appointments are scheduled up to 6 months in advance. Please let us know as soon as possible if you need to reschedule your appointment so that we can offer the appointment to another patient.

No-Shows and Late Cancellations

To avoid fees, we require at least 2 business days' notice to reschedule or cancel appointments. Late cancellations or missed appointments will incur a $50 fee. We are reasonable, understanding people, so emergency circumstances will be taken into account and the first incidence will be waived. However, repeated missed appointments or late cancellations will incur a fee and may result in only being allowed same day appointments if available.
